Create and use departments

Departments such as kitchen, service or bar let you organise shifts and give users access to their own area only.

Why departments?

In a larger venue, no single person plans every shift. The head chef requests cooks, the restaurant manager requests waiters. Departments reflect this: each shift can be assigned to a department, and users with the Department role only see and plan the shifts in their area.

How to create a department

  1. Open the Departments area in your account.
  2. Choose a type — kitchen, service, bar, events, administration or other — and enter a name.
  3. Arrange the departments in the order in which they should appear in your account.

Each name may only be used once per venue. So two bars in different places might be called “Terrace bar” and “Lobby bar”.

Departments in everyday use

  • When you send a request you can optionally choose the department. The shift then appears for everyone who plans for that department.
  • Under Users and permissions you link a person with the Department role to exactly one department.
  • Anyone tied to a department can only manage users of that department.

If you delete a department, past shifts keep their details. Users with the Department role are switched to “Read only” — give them a suitable new role afterwards.

An example

A hotel creates the departments “Kitchen”, “Restaurant” and “Banqueting”. The head chef gets the Department role for “Kitchen” and requests cooks and kitchen porters; the banqueting manager only plans shifts for events. Accounting sees receipts and finances across all departments without being able to read messages.
